Administrative Assistant (United States)

UNITED STATES (REMOTE POSITION)

Note: This position is initially part-time with the potential to become full-time in the future


Responsibilities:

  • Review administrative documentation sent by customers and suppliers, or prepared by the company, such as sales contracts, purchase orders, and registration forms.
  • Contact administrative offices of government clients and handle the related bureaucracy and paperwork.
  • Monitor company purchase and sales statistics and identify possible issues.
  • Organize the logistics of tradeshows and travels, checking all the tasks for their preparation are completed and booking flights, hotels, and other travel arrangements.
  • Perform office and phone reception duties.
  • Work on the entire administrative side of the company: interface with the CPA, register purchase invoices, make and check payments on online banking and company credit/debit cards, contact suppliers, organize shipping logistics and work travel expenses reports.
  • Prepare documentation for new hires, monitor timesheets, and interface with the CPA and consultants for payrolls, safety, privacy, and all related compliance issues.
  • Oversee active invoicing and handle fiscal issues and compliance, interacting with the sales team and consultants.

Requirements:

  • Native or very advanced English proficiency
  • Experience in bookkeeping and office administration for at least two years
  • Good knowledge of computer software fundamentals and the Microsoft Office suite
  • Excellent organizational skills, punctual and reliable, with a precise and detail-oriented attitude
  • Loyal and trustworthy, ability to handle confidential and sensitive information with discretion
  • Quick learner, ability to work independently and as part of a team
  • Must be an American citizen or eligible to work in the United States, and able to pass a background check as they may be interfacing with law enforcement agencies

Preferential Requisites:

  • Experience with QuickBooks Online or similar accounting software
  • Experience in working with government or law enforcement agencies
  • Bachelor’s Degree or Diploma in a field related to the position
  • Located in the Dallas area, or in Texas with the ability to meet regularly in Dallas
